How to welcome new Activist Handbook members

In this guide, we will go though all the steps to help you recruit and welcome our new members. This is mostly a guide for the communications team, but we still advice all coordinators to go through all of the steps, so that you understand how we work.

Invitation to join

There are many ways to know if people are interested in our project. The best way to get people involved in our project is to actively approach them. This is a time intensive task, but definitely worth it if well done.

Make sure you coordinate with others who is going to approach who, so that people do not get approached multiple times!

Interested in event

Send a message to people who are interested in a Facebook event to turn that ‘Interested’ or ‘Going’ click into actually attending:

Hey [First Name], it's so cool you're interested in our [Event about…]. We're very happy to welcome you! -[First Name]

If people respond with e.g. ‘Happy to attend!’, follow up with something like:

Awesome! Did already you sign up for our updates? http://activism.rocks/join

It is important that you add the ‘http://’ part, because otherwise it will not be recognised as link!

You can also try to include the link in the first message. However, Facebook (rightfully so) blocks people from spamming lots of people with links. You cannot send too many messages with the same link to people who you have never talked with before. However, if you get a response, Facebook is less likely to mark it as spam.

Signup form

People sign up via http://activism.rocks/join.

Welcome emails

To save time, we automatically send a series of welcome emails to new members using Mailchimp automations.

First email: confirmation

Immediately after someone signs up, we send an email to confirm we have received their signup. The primary call to action is to fill in a form with additional follow up questions (see section below for more info).

We'll reach out to you soon. To make sure we can get you in touch with the right coordinator, make sure to fill in this form.

Second email: personal welcome message

After one day, the second email is sent, which appears more personal (even though it is still sent automatically).

Welcome to Activist Handbook, I'm excited to have you on our team! How about we have a video call soon?

To meet the rest of our members, join our Slack group. It would be great if you could briefly introduce yourself there, so that the others know who you are.

Also, make sure to let us know how you would like to contribute.

Third email: checking-in

After two weeks, we send an email to check-in with the new member, to see if they need any help getting started. People often sign up, but then forget about it because they are busy with other stuff. This email is a friendly reminder that they signed up for Activist Handbook.

Send message via Slack

When people join our Slack, our welcome bot will automatically send a message in #welcome. Make people feel welcomed by responding with lots of emoji! 🦋

The welcome bot also sends a private message to new members:

Hey [Name], it’s cool to have you onboard!

I’m just a bot to help you get started. Here’s a few tips to become involved with Activist Handbook:

  • Introduce yourself in #general. Where’re you from? What are your pronouns? Are you involved in any activist movements?
  • Get to know us at one of our upcoming events. Check out #calendar for an overview.
  • We encourage you to take initiative. Join one of our teams! #team-communication #team-content #team-finance #team-events #team-developers #team-localisation

You can also send a private message to make them feel welcome. Use their answers from the follow up form to personalise your message:

Since you filled in that you are interested in [Something], I very much welcome you to join [Some Upcoming Meeting or Event]

Or if you have not yet scheduled a video call:

Hey [First Name], welcome to our Slack! How about we have a video call sometime soon so that we can get to know each other a bit better?

To introduce myself briefly: I am [First Name] from [Country], and I am [Coordinators Role]. [Some fun fact about yourself]. How about you?

Schedule video call

Personal contact is vital to engage new members. You can have a one-on-one call, or organise a new members meetup. The conversation suggestions below can be used for either. Some general advice:

  • Prepare your meeting: Check if they already filled in the follow up questions. This way you do not have to ask things twice. Feel free to look them up on Facebook and send a friend request, that way you already strengthen your connection.
  • Leave them with a good feeling: Do not pressure people to become active in a team if they are not sure yet. Do not demand too much from them all at once, but instead welcome them to join meetings without having to make any big commitments. At the same time, if you notice someone is open to contributing, help them get started as much as possible.
  • Make notes: If you promise to do something, make sure to write it down so you do not forget. If there is anything that other coordinators need to know, pass it on directly or add a note to their Mailchimp contact details.

We recommend to prepare your call by writing down a few bullet points you want to talk about:

  1. Ask about their pronouns & how to pronounce their name: Introduce yourself briefly, tell your pronouns, and explain your role within Activist Handbook.
  2. Ask how they are doing: Make sure to really listen. Genuinely show your interest in their wellbeing. People will often automatically respond will “yeah I'm doing well”. Put them at ease by also telling how you are doing yourself. For example, if you are a bit stressed out about an upcoming exam, or you are nervous because this is your fist time welcoming a new member, tell them!
  3. Explain why you wanted to talk: We do not want to waste people's time, and conversations are more effective when all participants know what the topic of the meeting is. For example, say you wanted to get to know them a bit better, and give them the opportunity to learn more about our project.
  4. Ask how they found Activist Handbook. It is important to know how people found us, because that enables us to recruit new members more efficiently.
  5. Ask what they already know about Activist Handbook. Go through the basics.
  6. Ask if they already have some experience with activism. If not, reassure that this is not necessary. It is good to know their level of experience, so that you can adapt the rest of the conversation to this.
  7. Determine how they would like to contribute and how much time they have available. Ask about their interests, previous experiences, and what they would like to learn more about.
  8. Ask if they have any questions. Maybe they already thought of something they wanted to talk with you about. Make sure to give them the opportunity to talk about the stuff they want to talk about. This is a conversation, not an interview!
  9. Invite them to upcoming events or meetings.
  10. Ask if they're ok with taking a screenshot for posting on our socials, and ask for their handles.
  11. End the conversation by repeating the most important points: For example, if they showed interest in an upcoming event, say ‘It was really nice meeting you, I’m looking forward to seeing you again at [Event Name]"

Invitation to events

One of the best ways to engage new members is to invite them to an upcoming event or meeting. Try to pick an event that is coming up soon, and is relevant to the interests of the member.

Engaging with teams

Every member likes to contribute in a different way. It always is good to encourage people to become more active, but make sure to take into account their personal preferences. Some like to take an active role, taking the lead in projects, while others need a bit more guidance.

Some practical advice:

  • Actively reach out to new members: People like it if you personally reach out to them to see if they are interested in becoming involved with your team. Do not expect automated emails to do all the work for you.
  • Engage people during meetings: People may stay silent, because they do not quite know yet what to expect. Actively try to engage all meeting participants by starting with an introduction round. In a small group, when asking a question, do not wait until someone starts to speak, but instead do a full round. If you have more than 15 people attending, use polls and the chat to facilitate discussions.
  • Trust new members with responsibilities: Give a specific small to-do or role to new members, so that they know how they can contribute. Immediately make them feel part of the team, without putting too large of a burden on them.
  • Follow up: Reaching out to new members once is not enough. If they have shown interest in contributing, make sure to actively invite them to following events.
